The Awaio Outlook add-in lets users book desks, rooms, parking, and other workplace resources directly from a meeting in Outlook. It is published and Microsoft-verified on Microsoft Marketplace, so there's no manifest file to download and no custom app to sideload — you deploy it like any other Microsoft 365 app.
Before you begin
You'll need Global Administrator or Application Administrator access to your Microsoft 365 tenant.
The Book by email setting must be enabled in the Admin Portal — the Outlook add-in relies on it to create bookings. If it's turned off, the add-in won't be able to book resources even after deployment.
The add-in requires an active Awaio subscription. It won't sign users in without one.
Step 1: Open Integrated apps in the Microsoft 365 Admin Center
Go to Settings → Integrated apps in the Microsoft 365 Admin Center.
Step 2: Click Get apps
Click Get apps to open Microsoft Marketplace inside the Admin Center.
Step 3: Search for Awaio
Search for Awaio and open the listing published by Awaio. You can also open the Awaio listing on Microsoft Marketplace directly and click Get it now — it takes you to the same deployment flow.
Step 4: Click Get it now
Click Get it now to start deployment.
Step 5: Assign users
Choose Entire organization to roll it out to everyone, or select a specific group if you want to pilot it with a test group first.
Step 6: Accept permissions
Review the requested permissions and accept them. The add-in reads the active meeting so it can pre-fill the time and attendee count, and writes the booked resource back onto the invite.
Step 7: Finish deployment
Click through the remaining steps to finish deployment. Microsoft 365 will push the add-in out to the selected users — this can take up to a few hours to appear in Outlook.
If a user requests the add-in
Because the add-in is on Microsoft Marketplace, users can find it themselves in Outlook under Get Add-ins (or All Apps → Add apps) and search for Awaio — see Adding the Awaio add-in in Outlook for the steps they'll follow.
Whether they can add it on their own depends on your tenant settings. If user app acquisition is restricted, Outlook shows a Request button instead of Add, and the request lands with your Microsoft 365 or Microsoft Entra admin for approval. Approving a request deploys the add-in to that user the same way a central rollout would.
Deploying centrally from the Admin Center is still the recommended path — it gets the add-in in front of everyone at once, without a request queue.
Using the add-in
Once deployed, users will see an Awaio Workplace button when they open or organize a meeting in Outlook. Clicking it opens a task pane where they can book resources for that event without leaving Outlook. See Booking resources from Outlook with the Awaio add-in for how to add the button and use it.
